Document management as a mechanism for organizational efficiency in a public institution in Latacunga canton

Abstract

T
he purpose of this research is to analyze document management (DM) as a mechanism for
organizational efficiency (OE) in a public institution in the Latacunga canton. Grounded in
theories of document management and organizational efficiency, this study explores how proper
document organization enhances processes and transparency. From a total population of four
hundred fifty-nine (459) employees, a survey was conducted with a sample of two hundred
ten (210) participants, evaluating key dimensions such as document generation, preservation,
systematization, and access, along with process efficiency, human resource management,
innovation capacity, transparency, and citizen satisfaction. The data were processed using the
software SPSS, applying Karl Pearson’s Chi-square test and Charles Spearman’s correlation test
to analyze the relationship between document management and organizational efficiency. The
results indicate that DM significantly impacts OE; notably, the Chi-square value (150.894,
p < 0.001) showed a significant association, while Spearman’s correlation (0.722, p < 0.001)
confirmed a strong relationship. These findings demonstrate that digital tools for DM enhance
accessibility and reduce information duplication, contributing to greater OE. The results
underscore the need to improve document management systems to optimize internal processes
and promote greater transparency within the institution, directly benefiting both employees
and, most importantly, citizens.
